Code of Conduct for the Responsible Use of AI in Administrative Work

We are committed to using generative AI in a lawful, responsible, ethical and inquisitive manner, just as we use other technologies. This means following the principles set out in this Code of Conduct, as well as applicable ethical guidelines and standards, contractual obligations, legislation, and the requirements and expectations of other stakeholders. It also means remaining open to new ways of working, continually exploring possible solutions, keeping our knowledge up to date, and gaining experience through practical use.
Five Principles for the Responsible Use of Generative AI in Administrative Work
Accountability and Quality
We ensure that generative AI is used to an appropriate standard of quality and accuracy, and we are committed to continuously reviewing and assuring the quality of its use. There must always be confidence that we carry out our work correctly, to high professional standards and with people at the centre.
Protection of Knowledge, Data and Rights
We ensure that all information processed using generative AI is protected in accordance with applicable legislation, regulations and standards for knowledge and information security. We only process or share data using platforms that have been assessed as appropriate for the relevant classification under AAU’s data classification scheme. We also document and regularly assess our use of generative AI in relation to intellectual property rights.
Transparency and Communication
We communicate clearly about our use of generative AI to maintain objectivity, trust and transparency. This includes disclosing and documenting our use of generative AI where relevant to the task, and informing recipients about how the outputs may be used in the future.
Inclusion and Awareness of Bias
Large language models are trained on broad and diverse datasets, which they use to interpret inputs and generate content. At the same time, platforms often include mechanisms designed to mitigate bias arising from differences in cultural backgrounds and perspectives. As humans, we can also be influenced by our interactions with technology.
Respect and Dialogue
We carry out our work with the necessary professional expertise, involve relevant stakeholders appropriately, and respect one another’s time and expertise when creating content.
